Sr. Billing Specialist Position

Overview

LHH is looking for a talented Sr. Billing Specialist who excels in problem-solving and critical thinking for a large law firm. The ideal candidate will adeptly manage non-standardized billing requirements, ensuring compliance with client-specific guidelines and attorney preferences. This role demands resilience to execute current practices while planning for the modernization of billing practices and the introduction of new technologies. Strong communication skills, relationship-building abilities, and the capacity to work both independently and collaboratively are essential for success. Position is full-time, scheduled flexible hybrid schedule.

Key Responsibilities

  • Billing Operations: Oversee the entire billing process for both traditional and electronic billing clients, ensuring adherence to service level agreements. This includes tasks such as pre-bills, write-offs, discounts, time transfers, report requests, rate changes, and originating attorney allocations.
  • Electronic Billing Management: Set up and maintain electronic billing profiles across various e-bill vendors, including new client/matter onboarding, timekeeper/rate approvals, and adherence to client-specific billing guidelines.
  • LEDES File Management: Create and modify LEDES format files for third-party platform integration, resolving technical issues through manual intervention when necessary.
  • Complex Billing Solutions: Manage complex billing arrangements, alternative fee structures, and special billing projects.
  • Reporting and Analysis: Generate reports and conduct analysis to fulfill ad-hoc requests, determine appropriate billing corrections, and follow up on unbilled time and outstanding balances.
  • Client and Matter Management: Manage the intake process for new clients and new client matters, maintaining client and matter information in the firm’s financial systems.
  • System Updates and Training: Stay current on billing system updates and assist in training others on system enhancements. Participate in or lead testing initiatives for financial system upgrades and enhancements.
  • E-Billing Platforms: Monitor e-billing platforms to ensure timely processing of status changes with appropriate stakeholder notifications. Collaborate with team members and Administrative Assistants to resolve e-billing rejections, rate discrepancies, and other submission errors.
  • Mentorship and Guidance: Mentor and provide technical guidance to less experienced Billing Specialists and administrative staff, including developing and maintaining current training and reference materials.
  • Escalation and Advisory Support: Serve as an escalation point for complex billing inquiries and provide advisory support to billing attorneys and their administrative staff.
  • Quality Control: Assist the Billing Manager in developing quality control processes to prevent common e-billing errors.

Qualifications

  • Experience:
  • 4+ years of billing experience in a professional services environment with multiple fee arrangement types and complex billing requirements, With in a law firm with 50+ billing attorneys.
  • 2+ years of hands-on experience with electronic billing platforms and vendor portals.
  • Technical Proficiency: Demonstrated proficiency with Elite 3E Cloud and eBillingHub or other leading legal industry billing systems. Experience with major legal e-billing platforms such as CounselLink, Collaborati, and LegalTracker.
  • Skills:
  • Strong analytical and critical thinking skills for independent problem resolution.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities in a high-volume environment.
  • Capacity to maintain composure under deadline pressure.
  • Commitment to maintaining strict confidentiality of client matters.
  • Education: Bachelor’s degree in accounting, business, or a related discipline, or equivalent related work experience.
  • Pay: $75K-$85K depending on experience.
