The AP/AR Specialist is responsible for managing the day-to-day financial transactions related to accounts payable and accounts receivable. This role ensures timely and accurate processing of invoices, payments, and collections, while maintaining strong vendor and customer relationships. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment.
Key Responsibilities
Accounts Payable (AP):
- Process vendor invoices and ensure proper coding and approvals.
- Perform 3-way matching of purchase orders, receipts, and invoices.
- Schedule and prepare disbursements; monitor payment terms to optimize cash flow.
- Maintain vendor records and resolve discrepancies or payment issues.
- Assist with month-end closing and audit support.
Accounts Receivable (AR):
- Generate and send customer invoices in a timely manner.
- Track incoming payments and apply them accurately to customer accounts.
- Follow up on overdue accounts and manage collections.
- Reconcile AR ledger and resolve billing discrepancies.
- Prepare AR aging reports and cash forecasts.
General:
- Maintain accurate and organized financial records.
- Collaborate with internal departments to resolve invoice or payment issues.
- Support audits and compliance initiatives.
- Contribute to process improvements and automation efforts.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- 2–5 years of experience in AP/AR or general accounting.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite, Sage 300) and Excel (VLOOKUP, Pivot Tables).
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal abilities.
- Experience with ERP systems and vendor/customer portals is a plus.
Pay Details: $55,000.00 to $70,000.00 per year
