Job Title: Administrative Assistant (Onsite)
Location: Sacramento, CA
Pay Rate: $20–$21 per hour
Schedule: Monday–Friday, 9:00 AM to 6:00 PM (Closed for lunch from 12:30 PM to 1:30 PM)
Position Type: Full-time, Onsite


Position Summary:

We are seeking a dependable and detail-oriented Administrative Assistant to support daily operations in a residential association office. This position plays a key role in providing excellent customer service to residents, coordinating vendor activities, and maintaining accurate administrative records. The ideal candidate is organized, proactive, and comfortable handling a wide variety of administrative and customer-facing tasks.


Key Responsibilities:

Customer Service & Resident Support:

  • Greet and assist homeowners, residents, vendors, and contractors

  • Provide and process forms for requests including: roof access, architectural changes, resident registration, key/remote agreements, work orders, incident reports, reservations, and landscape requests

  • Assist with committee sign-ups and general inquiries

Office Administration:

  • Answer and respond to calls, take messages, and process phone/email inquiries

  • Handle general office duties such as filing, faxing, copying, printing, and record-keeping

  • Issue parking permits, pool ID passes, register pets, and distribute pet tags

  • Perform ownership and lease verification tasks

Event & Facility Coordination:

  • Manage lodge and cabana reservations

  • Coordinate security coverage for scheduled events and prepare event notices

  • Communicate scheduling updates to relevant parties

Mail & Package Management:

  • Receive, log, and distribute packages to residents

  • Manage unclaimed mail/packages and update package return logs

  • Send pickup reminders and assign maintenance for posting resident notices

Maintenance & Work Orders:

  • Prepare and submit work orders to the Association Manager

  • Schedule vendor access to units as needed

  • Track complaint logs and assist in service coordination

Communication & Documentation:

  • Assist in preparing and distributing community memos, letters, and updates

  • Support distribution of welcome packets and forms to new residents

  • Log all complaints and service issues accurately

Technology & Systems:

  • Enter and update resident information in the Door King System

  • Maintain and update records and logs as required

Other Administrative Duties:

  • Order and maintain inventory of office supplies

  • Support the Association Manager with accounting-related tasks

  • Assist with deposit refund preparation and submissions to accounting


Qualifications:

  • High school diploma or equivalent; additional administrative training preferred

  • 1+ year of administrative or office support experience (HOA or property management a plus)

  • Excellent interpersonal and customer service skills

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Strong organizational and communication skills

  • Ability to manage multiple tasks with attention to detail

  • Comfortable working independently and with a team in a fast-paced environment



Pay Details: $20.00 to $21.00 per hour
