Litigation Secretary

Location: Sacramento, CA (Hybrid)

Position Overview:

A leading law firm is seeking a highly skilled Legal Support Specialist to join their Labor and Employment Litigation Team in Sacramento. This role involves providing top-notch secretarial and administrative support to a team of five or more attorneys. The ideal candidate thrives in a fast-paced, deadline-driven environment and possesses strong problem-solving and decision-making abilities. Excellent communication skills are essential for effective collaboration across teams and delivering exceptional client service.

Key Responsibilities:

  • Manage scheduling and travel arrangements, including court appearances, depositions, arbitrations, mediations, client meetings, and conference calls.

  • Handle business itineraries, coordinate travel arrangements, process travel reimbursements, and maintain calendars and due dates for attorneys.

  • Sort, read, and annotate incoming mail and documents as required.

  • Type and compose general correspondence, memos, legal documents, faxes, reports, etc., ensuring accuracy and clarity of the final copy.

  • Prepare draft documents such as briefs, complaints, motions, subpoenas, and summonses using firm templates and attorney information.

  • Coordinate multi-document filings in Federal, Circuit, and State courts, including E-filings.

  • Establish and maintain filing and records in both hard copy and electronic formats.

  • Enter attorneys’ time as needed and send to accounting by month-end deadlines; prepare client billing as required.

  • Oversee and conduct document reviews, prepare documentation regarding criteria changes, and track and report on review progress and results.

  • Perform analytical tasks, including preparing witness interview memoranda, reviewing and summarizing documents and deposition and court transcripts, and creating and using substantive coding tools.

  • Proofread briefs and other legal documents.

  • Assist with trial preparation, including creating trial notebooks, organizing exhibits, coordinating witness schedules, maintaining trial calendars, and communicating with opposing counsel and courtroom staff.

  • Assist with printing, scanning, organizing exhibit binders, preparing UPS labels, and certified letters.

  • Perform additional duties and responsibilities as assigned.

Qualifications:

Skills & Competencies:

  • Proficiency with rules for court document filings.

  • Understanding of various legal court documents, including complaints, answers, rulings, judgments, affidavits, motions, appeals, table of contents/authorities, subpoenas, court dockets, reports, memos, and correspondence.

  • Strong ability to maintain high standards, use good judgment, and anticipate needs.

  • Excellent attention to detail, organizational skills, and time management.

  • Strong interpersonal and communication skills, with the ability to collaborate effectively in a team.

  • Ability to work under pressure to meet strict deadlines.

Education & Prior Experience:

  • Bachelor’s Degree or equivalent experience preferred.

  • Minimum of 2 years of experience as a legal secretary/assistant, working in a litigation or labor and employment law practice.

  • Proficiency in Microsoft Office Suite applications (Word, PowerPoint, Excel, Outlook), document management, and other office technologies, with expertise in e-filing.

  • Exceptional computer skills and the ability to learn new software applications quickly.

Technology:

  • Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook required.

  • Working knowledge of iManage and Concur.

Compensation:

  • The expected pay range for this position is 75,000 - 90,000, Depending on Experience
