Administrative Assistant
Human Resources
LHH has partnered with an established company who is actively seeking a Bilingual Executive Assistant to join their team! This is an exciting opportunity to expand your EA experience and have opportunity for growth within the organization. This position will be an integral part to the company as Executive Assistant to the CEO and contributing to the success of the growing business. Responsibilities:
- Primarily support the Chief Executive Officer
- Maintain complex calendaring of appointments and effectively manage time
- Manage and book domestic and international travel arrangements, with a focus on travel to Mexico
- Ensure all travel logistics are efficiently handled, including flights, accommodations, and transportation
- Develop and manage international agendas, coordinating with international contacts and managing time zone differences
- Proofread memos, meeting minutes, corporate communications
- Process expense reports and invoices, and ensure corporate cards are paid
- Coordinate virtual and onsite meetings, events, lunches, office celebrations etc.
- Order office supplies and monitor office inventory
- Professionally greet and assist visitors and answer phone calls
- Provide outstanding written and verbal correspondence- both over the phone and through email
- Effectively and timely follow up with different staff and departments
- Provide Administrative support to ensure efficient business operations
- Clerical duties such as: filing, typing, copying, scanning, etc.
- Assist with special projects as requested and any additional duties
Compensation:
- $70,000-$75,000 annual salary
- Contract-To-Hire
Work Hours:
- Monday-Friday
- 8:00am-5:00pm
- 40 hours/week
- Fully onsite in Otay Mesa
Skills and Qualifications:
- Bilingual in Spanish required
- Minimum of 2+ years of relevant Executive Assistant support
- Bachelor's degree highly preferred
- Experience supporting C-Suite Executives or Board of Directors preferred
- Experience working within healthcare preferred but not required
- Proficient in Microsoft Suite
- Quick data entry skills
- Strong attention to detail
- Tech savvy and a fast learner
- Thrives in a fast paced environment and meeting deadlines
- Demonstrate high level of confidentiality
