Senior Administrative Assistant job in San Diego, CA

LHH has partnered with an esteemed investment firm in San Diego to find a highly polished and professional Senior Administrative Assistant to join their team! This role supports the Managing Director, covers the front desk as needed and collaborates with other Executive Assistants. Responsibilities:

  • Provide comprehensive administrative support to the Managing Director, including scheduling, correspondence, and meeting coordination.

  • Greet clients and visitors with a warm and professional demeanor, ensuring a positive first impression.

  • Answer and direct a high volume of phone calls, ensuring effective communication.

  • Manage the office, ensuring it is tidy and presentable at all times.

  • Schedule and confirm appointments for clients and the Managing Director.

  • Handle incoming and outgoing mail and deliveries.

  • Assist with basic administrative tasks such as filing, photocopying, and data entry.

  • Collaborate with other Executive Assistants to ensure smooth operations and effective teamwork.

  • Plan and coordinate light events, including meetings, luncheons, and other corporate functions.

  • Provide general information about the firm's services to clients.

  • Communicate effectively with clients and staff, ensuring a smooth flow of information.

  • Maintain confidentiality of client information in accordance with legal and ethical guidelines.


Qualifications:

  • Previous experience as a Receptionist, Administrative Assistant, or Executive Assistant.

  • Previous experience working in financial services or a professional office environment.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Professional, proactive, and polished demeanor.

  • High level of discretion and confidentiality.

  • Ability to work independently and as part of a team.

  • Tech-savvy with the ability to quickly learn new software and systems.


Additional Details:

  • Location: Del Mar

  • Salary: $90,000-$100,000/yearly salary

  • Schedule: Monday-Friday, fully onsite

  • Hours: 40 hours per week, standard office hours

  • Duration: Direct Hire

  • Amazing benefits and Bonus eligible!
