Job Title: Office Associate
Location: Oakland, CA (Onsite)
Schedule: Monday–Friday, 8:30 AM – 5:00 PM
Pay: $22–$24 per hour
Overview:
We are seeking a reliable and detail-oriented Office Associate to join a healthcare team in Oakland. This full-time onsite role provides essential clerical and administrative support to a department within a medical setting. The ideal candidate will bring experience from a healthcare environment and demonstrate the ability to work independently while providing excellent customer service to patients, families, and internal teams.
Key Responsibilities:
Prepare and maintain clinic charts
Process referrals through facsimile and RMO system
Greet and assist families; provide directions and information
Accurately gather and input patient demographic data
Schedule patient appointments per departmental guidelines
Verify insurance eligibility and maintain knowledge of contracted payers
Register patients using Meditech
Process billing and post payments in accordance with policy
Assist families with completing various forms and documentation
Obtain and issue authorizations and referrals as needed
Support incoming phone queue and maintain appointment schedules
Arrange interpreter services as needed
Participate in departmental meetings and professional development opportunities
Comply with hospital policies, customer service standards, and safety protocols
Qualifications:
High School Diploma or GED required
Minimum of 2 years experience in a physician office, hospital, or medical office setting
At least 1 year of experience in the medical field with knowledge of insurance eligibility and contracted payers
Strong verbal and written communication skills
Effective problem-solving and conflict resolution abilities
Must be able to work under pressure and manage interruptions
Proficient in Microsoft Office; minimum typing speed of 55 WPM
Experience with Meditech (preferred)
This role does not require supervisory responsibilities or specific licenses or certifications.
Pay Details: $22.00 to $24.00 per hour
