Executive Administrative Assistant
Location: On-site in San Rafael, CA
Hours: Monday–Friday, 8:30 AM – 5:30 PM
Compensation: $100,000 – $115,000 annually
Travel: Occasional travel to properties in Emeryville, Berkeley, Palo Alto, and Point Richmond
Experience Required: 8–10 years in a similar role
Education Requirement: Bachelor’s degree in Business Administration (required)
Background Check: A comprehensive background check will be conducted, including criminal history and employment verification.


Position Overview:

Seeking a highly experienced Executive Administrative Assistant to provide top-tier support to the senior management team. This role will primarily serve the asset management, transactions, and marketing departments and requires a strong background in administrative functions within a real estate or property management environment.


Key Responsibilities:

  • Maintain and organize both digital and paper documentation; ensure all hard-copy documents are scanned and properly filed in SharePoint and OneDrive.

  • Provide support on special projects such as archiving old files and managing document flow.

  • Assist the transactions and asset management teams, especially during property sales and acquisitions.

  • Perform administrative duties including calendar management, scheduling meetings, and preparing meeting materials.

  • Contribute to high-level operational tasks such as monthly/quarterly distributions and leasing reports.


Ideal Candidate Will Have:

  • 8–10 years of executive-level administrative experience.

  • Background in property management or real estate is highly preferred.

  • Strong organizational and time management skills with a proactive, detail-oriented approach.

  • Excellent written and verbal communication skills.

  • High level of proficiency with Microsoft Office Suite, SharePoint, OneDrive, and DocuSign.

  • Flexibility to manage shifting priorities and occasional urgent needs.

  • Familiarity with leasing terminology and property management documentation processes.


Note: Candidates must live within a reasonable commuting distance to San Rafael. Those located more than one hour away will not be considered.



Pay Details: $100,000.00 to $115,000.00 per year
