Executive Assistant

Hours: Monday–Friday, 8:00 AM–4:00 PM or 9:00 AM–5:00 PM (with a paid lunch hour)

Position Summary:
We are seeking a highly organized, self-motivated, and proactive Executive Assistant to support our Executive Director (ED). This is a permanent, full-time role requiring independence, initiative, and exceptional organizational and business writing skills.
Responsibilities:
Executive Support: Manage the ED’s calendar, schedule meetings, and coordinate travel arrangements.
Provide meeting facilitation and support, including drafting agendas, taking minutes, and following up on action items.
Draft, edit, and format correspondence, reports, and presentations using G-Suite, Adobe, and Canva.
Board of Directors & Donor Relations: Coordinate Board of Directors meetings and materials, ensuring seamless communication and preparation.
Build and maintain relationships with donors, stakeholders, and community partners.
Support donor management and outreach efforts, including thank-you letters and event coordination.
Special Projects & Initiatives: Oversee special projects and provide general administrative support for agency-wide initiatives.
Collaborate on community outreach, fundraising events, and external relations.
Agency Support: Represent the ED with professionalism, maintaining a strong executive presence.
Proactively handle tasks and prioritize work to ensure the ED’s time and efforts are maximized.
Qualifications:
Minimum 7 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
Exceptional organizational and multitasking abilities with strong attention to detail.
Excellent business writing, editing, and verbal communication skills.
Advanced proficiency in G-Suite (Google Docs, Sheets, Calendar), Adobe, and Canva.
Experience in nonprofit environments is a plus but not required.
Maturity, discretion, and the ability to handle sensitive information with confidentiality.
