Job Title: Administrative Assistant (Temporary)
Location: San Jose, CA
Pay: $20-21 per hour
Type: Temporary Assignment
Position Overview:
We are seeking a reliable and organized Administrative Assistant to support front office operations under the direction of the Community Manager. This role is responsible for providing administrative support, maintaining a welcoming front desk presence, and helping ensure the safety and order of the building.
Key Responsibilities:
Greet and screen all visitors and guests entering or exiting the building
Maintain visitor and daily logs, and ensure forms are up to date
Handle general office tasks such as filing, mail distribution, and preparing correspondence
Answer and route phone calls professionally
Keep the front entrance, lobby, and common areas tidy and organized
Support enforcement of community policies and assist with resolving resident concerns
Distribute resident notices and assist in managing tenant communications
Log and follow up on maintenance work orders to ensure timely resolution and resident satisfaction
Assist with processing new resident applications
Ensure consistent and punctual attendance to meet daily operational needs
Monitor security systems and report concerns as needed
Respond appropriately during building emergencies and maintain familiarity with emergency procedures
Participate in trainings and company meetings as needed
Perform other duties as assigned
Qualifications:
Education & Experience:
High school diploma or GED required
At least one year of receptionist or administrative experience preferred, or a combination of education and relevant experience
Skills & Competencies:
Strong proficiency in Microsoft Office; familiarity with RealPage a plus
Quick to learn new software or systems
Ability to handle confidential matters with discretion
Excellent communication and interpersonal skills; calm and empathetic demeanor
Comfortable interacting with diverse populations, including seniors, disabled individuals, and formerly unhoused residents
Capable of managing multiple priorities and meeting deadlines
Basic math and English proficiency
Ability to work independently while staying aligned with team goals
Flexibility to travel locally between sites and attend offsite meetings when needed
Valid CA driver’s license, reliable transportation, and proof of insurance required
Pay Details: $20.00 to $21.00 per hour
