Administrative Assistant – Tax Department (San Jose, CA)

LHH is teaming up with a professional services organization in San Jose, CA in search of an Administrative Assistant to support their tax team.



This is a great opportunity to join a dynamic and fast-paced team that plays a critical role in supporting tax operations. You’ll be working closely with experienced professionals and contributing to a variety of essential business functions.



The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities in a deadline-driven environment. They should have strong communication skills, a proactive mindset, and the ability to handle confidential information with discretion. Experience in a professional services setting is a plus.



Key Responsibilities:

  • Provide direct administrative support to tax staff

  • Manage tax return filing and documentation

  • Maintain Outlook contacts and calendars

  • Coordinate meetings, events, and travel logistics

  • Update CRM systems and prepare engagement letters

  • Create PowerPoint presentations and manage in-office hoteling reservations

  • Process expense reports, time entries, and mail/shipping

  • Support learning and development initiatives

  • Handle catering orders, scanning, printing, and binding

  • Assist with client acceptance and DocuSign requests

  • Manage digital files and run monthly reports

  • Contribute to miscellaneous projects as needed


Qualifications:

  • High school diploma or GED required; bachelor’s degree preferred

  • Minimum of 3 years of administrative experience required

  • Experience in a professional services firm preferred

  • Advanced proficiency in Microsoft Office Suite required

  • Familiarity with ERP systems preferred

  • Strong written and verbal communication skills

  • Excellent organizational and multitasking abilities

  • High attention to detail and ability to manage confidential information

  • Strong customer service orientation and team collaboration skills


Job Type: Temp to Hire
Start Date: ASAP
Location: Fully on-site in San Jose, CA
Hours: Full-time, regular business hours
Pay Rate: $32-$36/hour, depending on experience
