Job Posting: Executive Assistant (Onsite) | San Jose, CA
Temp to Hire
Salary: $100K - $110K
Bilingual in Japanese or Mandarin is a plus
Core Responsibilities:
Expertly manage and coordinate complex executive calendars
Oversee logistics for both internal and external meetings
Arrange international travel for executives, including flights, transportation, and accommodations
Facilitate executive-level team communications:
Organize all-hands events, customer briefings, meeting minutes, and leadership meetings
Prepare meeting agendas, presentations, and team communications
Plan and manage online, hybrid, and in-person events, including large team meetings
Track and assist with key management and board meetings, including preparation and attendance as needed
Record meeting minutes, track action items, and ensure follow-up
Maintain Board and corporate records, including contracts
Efficiently process executives' invoices and travel expense claims in accordance with company policies
Serve as an expert on corporate policies and procedures
Promote a positive work environment
Draft high-level, professional emails and messages for internal and external stakeholders
Independently handle routine tasks and proactively address potential issues or delays
Collaborate with cross-functional teams to achieve critical goals and maintain strong relationships
Lead and manage ad hoc projects as required
Assist with trademark renewals and other corporate matters
Support the executive team in managing their budgets

Knowledge & Experience:
Minimum of 3 years of administrative experience, ideally supporting Senior Directors or above
Strong organizational skills
Proven experience interacting with senior management
Excellent written and verbal communication skills
Proficiency in Microsoft Office
Excellent telephone etiquette and ability to manage competing priorities
College degree preferred
Bilingual in Japanese or Mandarin is a plus
Pay Details: $100.00 to $110.00 per year
