Job Description: Administrative Assistant

Location: San Ramon, CA

Position Overview:

We are seeking a reliable and highly organized Administrative Assistant to join our team at a consumer services company in San Ramon, CA. The ideal candidate will provide essential support to our office and staff by managing day-to-day administrative tasks, ensuring smooth operations, and delivering exceptional customer service. This role requires a proactive, detail-oriented individual who excels at multitasking and thrives in a fast-paced environment.

Key Responsibilities:

  • Serve as the first point of contact for clients, answering phones, responding to inquiries, and directing calls to appropriate departments.

  • Manage office operations including scheduling appointments, maintaining calendars, and organizing meetings.

  • Handle incoming and outgoing correspondence, including email, mail, and packages.

  • Assist in preparing reports, presentations, and other documents using Microsoft Office Suite (Word,Excel, PowerPoint).

  • Maintain organized filing systems for both electronic and physical documents.

  • Coordinate office supplies inventory, placing orders, and ensuring proper stock levels.

  • Greet and assist clients and visitors, ensuring a welcoming and professional office environment.

  • Support company executives with travel arrangements, meeting preparation, and other administrative tasks.

  • Assist in the organization of company events, staff meetings, and client presentations.

  • Handle data entry, manage customer records, and update databases with accuracy and attention to detail.

  • Perform other administrative duties as assigned to support the team and office operations.

Qualifications:

  • High school diploma or equivalent required; Associate???s degree or higher in business administration or a related field preferred.

  • 2+ years of experience as an Administrative Assistant, Office Manager, or in a similar role.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Excellent communication skills, both written and verbal.

  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.

  • Detail-oriented, proactive, and able to work independently or as part of a team.

  • Professional demeanor with strong customer service and interpersonal skills.

  • Ability to handle sensitive information with confidentiality and discretion.

  • Experience in a consumer services or customer-focused industry is a plus.
