LHH Recruitment Solutions is partnering with a fantastic company in Scottsdale, AZ that is looking to add an Executive Assistant to join their team. This is a full-time Monday through Friday in-office position. Pay range is $28-$32.00 per hour depending on prior experience.

The Executive Assistant/Personal Assistant (EA/PA) provides high-level administrative support to the CEO or other top executives. This role requires a proactive, detail-oriented professional who excels at multitasking and managing both business and personal responsibilities. The EA/PA will be responsible for handling confidential matters, managing schedules, coordinating travel, and assisting with personal tasks to ensure the executive's day-to-day operations run smoothly.

Key Responsibilities:

  • Executive Support:

    • Manage the executive’s calendar, including scheduling meetings, appointments, and events.
    • Coordinate all travel arrangements (flights, accommodations, itineraries) for business and personal trips.
    • Act as the gatekeeper for the executive, handling all communications, screening calls, and managing correspondence.
    • Prepare and organize documents, presentations, and reports for meetings and conferences.
    • Attend meetings with or on behalf of the executive to take notes and follow up on action items.
  • Personal Assistance:

    • Assist with personal tasks such as managing household staff, running errands, and coordinating family events or special occasions.
    • Handle personal financial matters, including managing expense reports, paying bills, and tracking budgets.
    • Organize and oversee personal projects, such as home renovations or charitable activities.
  • Administrative & Office Management:

    • Organize and maintain filing systems, ensuring easy access to important documents.
    • Manage the executive’s email, prioritizing communications and responding on behalf of the executive when necessary.
    • Handle confidential information with discretion and maintain a high level of professionalism.
    • Coordinate with other executive assistants or team members to ensure smooth interdepartmental collaboration.
    • Assist with event planning and execution for company or personal events.
  • Project Management:

    • Oversee special projects, ensuring deadlines are met and that all deliverables are completed to the highest standard.
    • Track project progress, delegate tasks, and report updates to the executive.
    • Work with cross-functional teams to ensure that executive priorities and goals are being addressed.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or a related field (preferred). High School diploma or GED is required.
  • 3+ years of experience as an Executive Assistant or Personal Assistant is required. No exceptions. Proven experience doing calendar management, travel arrangements, reconciling expense reports, and personal assisting with errand tasks.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other office management software (e.g., Google Workspace, Zoom).
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and the ability to work independently.
  • Excellent interpersonal skills with the ability to build relationships at all levels.
  • High level of professionalism and judgment.
  • Ability to anticipate the needs of the executive and act accordingly.
  • Flexible and adaptable in a fast-paced environment.
  • Experience managing complex travel logistics and event planning.
