Responsibilities:
- Receive and organize mail containing customer payments while in the office.
- Separate customer payments by company and determine appropriate processing method (bank lockbox or remote deposit).
- Utilize check scanner to process remote deposits in the office.
- Access multiple bank accounts for various entities and manage financial transactions.
- Download PDF copies of checks deposited in our lockbox and post them in the system on customer records.
- Handle ACH/Wire payments by downloading and posting them in the system on customer records.
- Manually post payments ranging from 50 to 200+ per day, depending on workload.
- Assist Accounts Receivable team during lighter payment periods by downloading invoices, supporting collections efforts, etc.
- Download, save, and split PDFs with multiple pages as needed.
- Utilize customer records to accurately apply payments to the correct invoices.
- High school diploma or equivalent required
- Strong computer skills with the ability to troubleshoot basic technical issues.
- Experience working with Outlook, Box folders, NetSuite (CRM), Salesforce, and online bank systems preferred.
- Proficiency in downloading, saving, and splitting PDFs containing multiple pages.
- Must have experience searching customer records for invoice matching and payment application.
- Detail-oriented with excellent organizational skills.
- Ability to handle high volumes of payments efficiently, particularly during peak seasons.
