Job Description:
The Administrative Assistant will play a crucial role in ensuring the smooth operation of our office during the tax season. This role requires excellent organizational skills, attention to detail, and the ability to handle a fast-paced work environment. The ideal candidate will be flexible with their working hours to accommodate the seasonal demands of the tax industry.
Key Responsibilities:
- Greet clients and handle incoming calls, directing them to the appropriate team members
- Schedule and confirm appointments for clients with tax professionals
- Prepare and organize client files and tax documents for processing
- Assist in the preparation and mailing of tax returns and related documents
- Maintain an organized filing system, both physical and digital
- Perform data entry tasks, ensuring accuracy and confidentiality
- Handle general office duties such as photocopying, scanning, and mailing
- Assist with the assembly and review of tax returns for completeness
- Provide administrative support to the tax team, including preparing correspondence and reports
- Ensure the office is well-stocked with supplies and maintain a clean and professional work environment
- High school diploma or equivalent; associate degree in business administration or related field preferred
- Previous experience in an administrative or clerical role, preferably in a tax or accounting setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational and time management skills
- Strong communication skills, both written and verbal
- Ability to handle sensitive information with confidentiality and discretion
- Detail-oriented with a high level of accuracy
- Flexibility to work extended hours during peak periods, including evenings and weekends if needed
Pay Details: $18.00 to $20.00 per hour
