We are seeking a detail-oriented and proactive Legal Administrative Assistant to support our legal team. This role involves a wide range of administrative and clerical tasks to ensure the efficient operation of legal processes and case management. The ideal candidate will be highly organized, tech-savvy, and capable of managing multiple priorities in a fast-paced legal environment.
Essential Functions
Set up new case files, including conflict worksheet preparation and file organization
Maintain and manage legal files with systems to track document locations and status
Prepare and edit general correspondence, pleadings, and discovery documents from attorney dictation with a preference for same-day turnaround
Draft form and enclosure letters to courts, opposing counsel, and clients
File legal documents and correspondence, including scanning, copying, and faxing
Prepare documents for court filings and distribute filed copies to relevant parties
Handle incoming calls and messages for attorneys in their absence
Review, scan, and process incoming and outgoing mail using NetDocuments
Schedule mediations, depositions, and client meetings; manage related calendar entries
Prepare materials for meetings, hearings, and discovery production
Submit invoices and request checks for court-related expenses
Coordinate with finance to close files and prepare them for offsite storage
Perform other duties as assigned by management or supervising attorneys
Qualifications
Proficiency in Microsoft Word and Office Suite
Minimum typing speed of 70 WPM
Familiarity with NetDocuments and Elite software is a plus
Ability to support three or more attorneys simultaneously
Strong time management and organizational skills
Excellent verbal and written communication abilities
High attention to detail and accuracy
Ability to handle confidential information with discretion
Capable of working independently and collaboratively
Flexible and able to manage competing priorities under pressure
Pay Details: $46,000.00 to $53,000.00 per year
