Job Posting Benefits Manager

Position: Benefits Manager

Location: Yuba City, CA

Work Schedule: Hybrid (Tuesday and Thursday in-office, Monday and Friday remote, every other Friday off)

Experience Required: Minimum 5-7 years as a benefits Manager servicing over 200 employees

Technology/Systems: Proficiency in payroll software (UKG preferred) and Microsoft Office Suite (particularly Excel)

Job Summary: The Benefits Manager is responsible for managing all benefit and retirement plans, ensuring compliance with state and federal laws, and providing strategic recommendations to improve benefit programs. This role requires a strong background in benefits management, self-funding, and the ability to analyze data and lower high claims. The Benefits Manager will work closely with the CEO and other senior leaders to discuss and implement benefit strategies.

Essential Duties and Responsibilities:

  • Handle confidential information with sensitivity and discretion

  • Manage benefits audits, providing records and documentation to auditors and preparing necessary reconciliations

  • Identify and recommend updates to benefit programs and processes

  • Prepare and analyze quarterly budget reports on benefits

  • Review and analyze changes to state and federal laws pertaining to benefits and update programs and processes accordingly

  • Develop company cost information for new plans and make recommendations

  • Review and reconcile monthly pension plan trustee statements to track cash flow and expenses

  • Coordinate and prepare reconciliations for annual financial statement audits

  • Review weekly and monthly action required reports issued by the plans' record-keeper and take appropriate action

  • Update census data for annual valuation/discrimination testing purposes

  • Track and distribute benefits commencement packets to DB plan participants

  • Input new annuitants or lump sum payments for pension plans into relevant applications

  • Serve as committee secretary for all retirement plans

  • Prepare for and conduct annual retirement plan committee meetings

  • Prepare and file Form 5500s for defined benefit, defined contribution, and health & welfare benefit plans

  • Prepare and file Form 8955-SSA for all retirement plans

  • Prepare and file PBGC premium filings for all defined benefit pension plans

  • Establish and execute procedures for administering plans in compliance with IRS & DOL rules

  • Coordinate with ERISA attorney to ensure all plan documents are timely updated and accurately maintained

  • Audit Form 1099-Rs to ensure accurate information is reported

  • Prepare and distribute all annual notifications required for benefits plan participants

  • Coordinate payment of professional fees incurred with respect to retirement plans and reimbursement from participating employers

  • Maintain master files on all pension plan activity

  • Prepare monthly reconciliations for all balance sheet accounts pertaining to retirement and health & welfare benefits

  • Review divorce decrees for the existence of alternate payees

  • Review QDROs to determine if qualification requirements are met before approving and processing for payment

  • Perform routine review of beneficiary designations for 401(k) plans to ensure timely completion

  • Update status of plan participants for the 401(k) plans

  • Review and approve distribution requests from 401(k) plans

Expected Qualifications:

  • Strong discretion and confidentiality

  • Excellent interpersonal skills

  • Attention to detail

  • Strong analytical and problem-solving skills

  • Proficient with payroll software (UKG preferred)

  • Proficient with Microsoft Office Suite, particularly Excel

  • 4-year degree in Accounting, Human Resources, or Business Administration

  • 5-7 years of experience as a Benefits Manager servicing over 200 employees in a union environment (preferred)

Education: 4-year degree in Accounting, Human Resources, or Business Administration

Salary: $110,000 - $120,000 (Incentive bonus based on company and individual performance, paid annually in September)
